Innfinity Overview


 

 

An introduction to Innfinity starts with the Home Screen. Home Screen refers to the Innfinity screen in any module, without SlideOuts, reports, or windows open.

 

The Home Screen is comprised of four main areas:

Menu bar

 

Many of the interactive reports and functions of Innfinity are located in the top menu bar, under each of the Menu options:  INNfinity, Reservations, Front Desk, Group, Contract, Accounting, Hskp, Maint, Marketing, Guest Docs, Premium, NA Wizard, NA Steps, Admin, and Help.

 

Click on a menu option and a drop down displays the related reports.  Individual reports are detailed in Menu Bar content. Guest Docs menu options are active only when a guest’s record or item is active (i.e. opened) in the Home Screen. With a guest reservation open, Confirmation, Registration Card, Guest Folio, and Parking Pass are active and available to open.

 

The Admin menu option opens a window containing management functions. If your Innfinity user login does not have management permissions, this window will not be accessible.

Application Modules

 

Although modules may differ between different Innfinity Systems, standard modules in all system configurations include Account, Reservation, Group and Contract.

Open Item Selector

 

The Open Item Selector is located below the menu bar to the right of the application.  Clicking the selector opens a list of all the items (records and reports) that have been opened to the screen and not closed.

 

Multi-tasking is possible by having multiple records (i.e. Reservations, Accounts, Contracts) open at the same time.  All unsaved records will stay open and remain on the Open Item Selector list until properly closed using the Close button.

 

Records that have been saved and left open will remain available in the Open Item Selector for 10 minutes before being automatically closed to prevent overuse of system memory.

Search Controls

 

Reservations of any status (i.e. Current, Cancelled, History, No Show) can be searched.  All guest records are active from the day they are made and saved.  Using search controls, a reservation that's been checked out can be opened to make charges, adjustments and payments without having to check the guest back into the property.

 

Use the Status selector to designate the type of record to search for.  The selector defaults to Current, which filters out any past records (i.e. Checked Out, History or Cancelled) to quickly return current search results.  Other search statuses include Any, Cancelled, History, or No Show.

 

When using the Reservation Module, the Find field can be used to enter a last name of a guest, or the name of a Group, Account, or Contract can be entered if using another module.  Press the Enter key to initiate a search, or click the binocular button.  Using the binocular button with the a blank Find field opens the advanced search window.

 

When used in the Reservation Module, the binocular button offers key search features when right clicked.  See the Searching Innfinity article for more information.

 

The Find field can also be used to search a combination of last and first name using any number of characters for either.  For example, searching for "Walter Smith" could be accomplished by entering "sm, wa."

 

Entering a character before the search information in the Find field allows search of particular criteria:

Use the In-House selector to filter a search by specific In-House status.  The selector defaults to <Any>.  Specific In-House statuses available for searching include:

Action Buttons

 

Action buttons are located to the right of Search Controls, and offer easy access to important options.

 

The New button opens a new reservation ready for information inputs.  Clicking the drop-down displays a number of options for creating new reservations, including New Reservation, New Walk In, Copy Current Reservation, Copy Current Reservaion (New Guest), New Res from Availability, and New Res from Room...  For detailed information on using these functions, see the New Reservation article.

 

The Save button becomes active after a new reservation or item has been created and information is input, or an existing item has been opened and changed.  Use this button to save the item with the information displayed.

 

The Cxl Reservation becomes active when a reservation that has not been Checked In is opened.  Selecting this button cancels the reservation and assigns a cancellation number.

 

The Check In / Out buttons are available after a reservation is opened. A Check In button is present when a booked reservation is arriving on the current system date. A Check Out button replaces it after a reservation is checked in. See the Check In and Check Out articles for more information.

 

The Close button becomes active when a reservation or item is open.  If the open item is edited or changed, the button changes to Cancel, which closes the item without saving changes.

 

 The Close button indicates that item has not been changed or has been saved.  The Cancel button appears when an item has been created or edited, and will discard changes made.

Reservation Status

 

When viewing an open reservation using a Reservation Module, a colored bar displays with the reservation's confirmation number, nights the reservation is for, and current status.  The Reservation Status bar is located below Search Controls and Action buttons.

 

The Status is indicated by text, and corresponds with the color of the bar:

 

 = Checking In or Future

 = Partial Check in (i.e. In-House Waiting, or one guest of multiple for a reservation is checked in)

 = In House

 = Checking Out

 = Checked Out

 = History

 = Cancelled

Item Information Area

Item information area refers to the Innfinity application below the Reservation Status bar.  When an item is open, this area displays information pertaining to a reservation (if using the Reservation Module), or to an item opened in another Application Module.

 

 The Item Information Area will change depending on the Application Module selected, displaying panels with information pertinent to the item(s) being accessed. For example, the Reservation Module contains a Projected Financial Summary window containing a reservation's projected charges, while the Group Module does not include because this module is used to connect guest reservations to Group Master Reservations.

Property SlideOuts

       

 

SlideOuts bordering the left side of the application have information pertinent to the property.  Click + hold the SlideOut edge to drag to a desired size.  See Property SlideOuts for more information, or select a Property SlideOut link below:

Right Side SlideOuts

SlideOuts along the right side of Innfinity have information pertinent to the guest profile, or any other profile that has historical properties (i.e. can be selected again for new reservations, contracts, groups, etc.).  There must be a record open on the screen for information to appear in these SlideOuts.

 

To open a SlideOut, click on a desired tab and re-size by click + holding the edge to drag.  Right screen SlideOuts vary depending on the Application Module being used to offer pertinent functionality for the reservation or profile being accessed.
